Follow these steps to process a Journal Voucher:

• Download and fill out the JV Request Form.
• Email the completed form and supporting documents to jvrequest@fortlewis.edu.

Please inform us about incoming payments::

• Email advance notifications of payments to askaccounting@fortlewis.edu.
• Bring physical deposits to the cashier at 140 Berndt Hall, or use the night drop box after hours.

Handling supplier payments and reimbursements with precision:

• Checks and EFTs are processed weekly, typically on Wednesdays or Thursdays.
• Allow two weeks for processing invoices and expense reports.

Stay updated with payroll schedules and ensure your payments are timely:

• Payroll Calendar: Payroll is processed bi-weekly.
• Holiday Schedule
• Direct Deposit: Sign up to receive your payments directly into your bank account. Ensure your address is current for mailed checks and tax purposes. Sign up for electronic delivery of payroll tax forms.
  • Update personal information in Workday

• Timesheets: Submit weekly by Friday; supervisors must approve time weekly.
  • If time is not entered/submitted and approved within payroll cycle, pay won't be processed until the following payroll cycle.

• Falsified expense or travel reports

• Accepting payments from external parties for preferential treatment
• Use of P-cards for personal purchases
• Theft of company assets
• Manipulating financial statements or other official reports
• Falsifying time reporting or payroll-related information
